By selecting the New access rule button in the legacy Access rules menu, users with the ADMIN or KHUB_ADMIN role can create a rule based on metadata to allow only some groups to access documents with that metadata.

The New access rule drawer has the following sections:

The Create access rule menu. It includes a dropdown menu labeled 'Bind this metadata' (1), a toggle switch for automatically binding metadata to user groups (2), another dropdown for selecting a value (3), and radio buttons to set access levels: 'available to everyone', 'restricted to authenticated users', and 'restricted to the following groups' (4). A selected group, 'CustomerService', is displayed with an option to create a new group (5). The bottom of the interface features 'Cancel' and 'Save' buttons.

  1. A menu to select a metadata key.
  2. A toggle to automatically bind each value for the selected metadata key to a user group with a matching name. Fluid Topics generates these user groups automatically. Each group can access all documents with the corresponding metadata value. If the user activates this toggle, all configuration options below it are grayed out.

  3. A menu to select a metadata value.

    Metadata keys and values are case-sensitive.

  4. A section to define which user groups can access documents with the given metadata.

  5. A button to create a new user group.

Fluid Topics portals created before October 1st, 2024 use the legacy Access rules. A new version of the Access rules menu, known as the enhanced Access rules, is available. The enhanced Access rules features a brand new interface design, and provides greater flexibility to users. See Enhanced access rules.

Saving the configuration launches a reprocess job.

  • Legacy Access rules apply at the document level. All topics inherit rights from the document to which they belong. To assign rights on a per-topic basis, use the Enhanced access rules.
  • For rights to become effective, it is necessary to select metadata which is associated with a document. If a user selects metadata that is associated with one or more topics, but not with any documents, Fluid Topics does not apply the content access right.
  • ADMIN, KHUB_ADMIN, and CONTENT_PUBLISHER users can see all content, including documents for which Access rules have been configured.

  • When using a hierarchical metadata key as a metadata requirement, only the deepest level value, or leaf, can be used as the requirement value. This means that for different hierarchies that end with the same leaf, the Access rule applies. In the following example, the Access rule applies to both situations:

    • Region: Europe > France > Provence-Alpes-Côte d'Azur
    • Region: World > Western Europe > Provence-Alpes-Côte d'Azur
