By selecting the New access rule button in the enhanced Access rules administration interface, users with the ADMIN or KHUB_ADMIN role can create a rule based on metadata to allow only some groups to access documents or topics with this metadata.

To create an Access rule, proceed as follows:

  1. Enter a rule name.
  2. Enter a rule description.
  3. Select the authorized user groups for the rule:

    The Automatically bind metadata values to user groups with matching names option grants users access to a document when they belong to a user group with the same name as a metadata key value for that document.

  4. Under Metadata requirements:

    • Choose if the rule applies to documents and topics matching all the metadata requirements, or any of the requirements.
    • Add one or multiple metadata requirements, and select if the rule applies to content with any of the selected values, or with all the selected values.
  5. Select Save.

  6. Select Apply and reprocess.
  • Metadata keys and values are case-sensitive.
  • If a document or topic matches multiple rules, the less restrictive rule takes precedence over the others.
  • ADMIN, KHUB_ADMIN, and CONTENT_PUBLISHER users can see all content, including content for which Access rules have been configured.
  • It is possible to edit Access rules by selecting the Edit icon. After editing a rule, select Apply and reprocess.
  • For Fluid Topics portals using the legacy Access rules menu, selecting Apply and reprocess activates the enhanced Access rules menu. This action deletes all the Access rules configured in the legacy Access rules menu.
  • When using a hierarchical metadata key as a metadata requirement, only the deepest level value, or leaf, can be used as the requirement value. This means that for different hierarchies that end with the same leaf, the Access rule applies. In the following example, the Access rule applies to both situations:

    • Region: Europe > France > Provence-Alpes-Côte d'Azur
    • Region: World > Western Europe > Provence-Alpes-Côte d'Azur
